Privacy Policy

MyNote AI is a live interview and meeting copilot: it transcribes audio, stores notes and documents in your account, and generates AI answers. Questions about this policy: hello@mynotetakerai.com.

Account. Email address, display name, profile photo (if you use Google or Sign in with Apple), and a unique user ID from Firebase Authentication.

Content you create. Session transcripts, AI answers, chat messages, uploaded documents (PDFs, notes, CVs/resumes), and settings (language, notification preferences, AI provider choice).

Audio and capture. When you start a live session we process microphone audio (and, on desktop, system audio if you enable it). The macOS app may request screen-recording permission so the overlay can stay private from screen shares and so capture features can run. We process this media to create transcripts and answers; we do not sell recordings.

Payments. If you subscribe, our payment partners (Apple, Google Play, Stripe, and RevenueCat) collect card or store-account details. We receive subscription status, plan, and expiration — not your full card number.

Device, diagnostics, and usage. App version, device type, crash reports, and events such as sign-in or session start (Firebase Analytics / Google Analytics, Crashlytics on mobile). If you enable push notifications we store a device token.

We use this information to:

• Provide transcription, knowledge search, and AI answers
• Sync your sessions and documents across web, mobile, and desktop
• Manage subscriptions, quotas, and customer support
• Send session or product notifications you opt into
• Measure advertising performance for Google Ads campaigns that send people to this site
• Keep the Service secure, debug crashes, and improve reliability
• Comply with law and enforce our Terms of Service

To transcribe speech and generate answers, relevant audio, transcript text, your question, and excerpts of documents you selected are sent to cloud speech-to-text and large-language-model providers (currently including Google and, if you configure it, OpenAI). Those providers process the data to return a result. Do not use live capture or AI features unless everyone in the room has agreed to recording and AI processing, where the law requires it.

We share information with service providers who help us operate the Service, under contracts that limit their use of your data:

• Google Firebase (auth, database, storage, analytics, crash reporting, Cloud Functions, messaging)
• Apple and Google (sign-in and in-app purchases on their stores)
• Stripe (website and desktop billing)
• RevenueCat (mobile subscription status)
• Speech and LLM providers described above

We may also disclose information if required by law, to protect rights and safety, or as part of a merger or sale of the Service. We do not sell your personal information.

We keep account and content data until you delete it or close your account, unless we must keep it longer for legal, security, or billing reasons. You can delete your account in the mobile app under Settings, or email hello@mynotetakerai.com and we will delete personal data we control, subject to those exceptions.

Depending on where you live (including the EEA, UK, and similar regimes), you may have the right to access, correct, delete, or export your data, object to certain processing, or withdraw consent. Email hello@mynotetakerai.com to make a request. You can also turn off AI processing in mobile Settings, disable notifications, and revoke microphone or screen permissions in your device system settings.

The Service is not directed to children under 13 (or the minimum age required in your country). We do not knowingly collect personal information from children. If you believe we have, contact us and we will delete it.

We use cloud providers that may process data in the United States and other countries. Those transfers are necessary to run the Service. Where required, we rely on appropriate safeguards used by those providers (such as Standard Contractual Clauses).

We use industry-standard measures such as encrypted transport (HTTPS) and access-controlled cloud storage. No method of transmission or storage is 100% secure.

We may update this policy from time to time. The “Last updated” date at the top will change. Continued use of the Service after an update means you accept the revised policy.
